Job Title:             Program Director

Position Summary:

The Program Director is responsible for the planning and implementation of the Arctic Rec Center programs, including promoting programs through website, facebook, instagram, and other avenues. Looks for and applies for applicable grants. Performs administrative, supervisory, and professional work to plan, develop, and implement programs for the Arctic Rec Center. Center programs are all classes, leagues, camps, or otherwise group oriented events hosted by and for the Arctic Rec Center.

Until the position requires full time attention, Program Director will assist in events, coffee cart, and other areas as needed.

 

Essential Duties:

 

  • Develop and manage a comprehensive set of programs for The Center, including athletic leagues, instructional programs, day camps, before/after school camps, and other programs that service the business and ministry goals of The Center.

  • Assist the Executive Director in strategic vision and planning for overall The Center program.

  • Oversees and manages day to day operations of all Center programs.

  • Perform work on evenings and weekends as needed to meet applicable deadlines or scheduling needs.

  • Train and manage full time, part time, and seasonal personnel; assist with recruitment and scheduling of personnel.

  • Provide for risk management practices: ensures all safety rules, regulations, and procedures are followed and ensures that employees are trained in safety protocols.

  • Ensures that all facilities and recreational equipment are properly maintained at all times in ways that extend the useful life of these assets.

  • Assists the Executive Director in the preparation and management of the annual budget for programs; approves purchases of supplies and operating inventory according to the budget.

  • Works with the Executive Director and program partners to develop alternative funding sources for programs and improvements.

  • Coordinate the scheduling of The Center programs in the software and gym space to ensure The Center programs receive priority.

  • Works with staff and program partners to implement programs, serves as the technical advisor on all program issues.

  • Serves administrative functions that support programs and program development.

  • Performs other duties as required.

  • Working knowledge of recreation programs and associated management processes.

  • Working knowledge of the rules of a variety of sports.

  • Skills in working with a variety of age groups.

  • Skills in developing positive relationship with employees.

  • Ability to organize and direct programs and lead programs. Must pass a background check.

  • Ability to work in an office environment with computer and database software.

  • Ability to communicate effectively verbally and in writing.

  • Ability to lead groups effectively and maintain a professional and ethical working environment.

Position Summary

The Guests Services Associate/Booking Agent responds to communications from customers concerning reservations via email and phone, creates and maintains reservation records, processes payments, quickly responds with confirmation, and promptly processes any cancellations and modifications. Additional duties may include preparing the list of expected arrivals for the front desk and assisting in rental activities when appropriate. This position is the frontline employee for welcoming and engaging customers and is responsible for the setup and tear down of events. Because we have two different businesses under one roof, you may also be trained for specific functions regarding Faith Learning Center. You will report to and consult with the Arctic Recreation Center director. Everything you do on and off the job should be a reflection of Christ. It is essential you are ever increasing your relationship between you and the Father.

Essential Duties and Responsibilities

  • Assisting and advising customers with choosing from a variety of room options.

  • Checking and responding to booking agent email daily for rental requests. 

  • Tracking required steps for each rental/reservation. 

  • Making reservations for customers based on their various requirements and budgetary allowances.

  • Checking the availability of rooms and requested equipment.

  • Processing payments and confirming reservation details with customers.

  • Sorting out any issues that may arise with bookings or reservations.

  • Providing support to customers who may need to amend or cancel a reservation.

  • Greet new arrivals to activities, introduce them to other participants, explain facility rules, and encourage their participation.

  • Take payments for events, programs or classes.

  • Responsible for event/rentals/program preparation and clean up.

  • Being a source of information to guests. 

  • Assist with building cleanliness as needed. 

  • Enforce rules and regulations of recreational facilities in order to maintain discipline and ensure safety.

  • Organize, lead, and promote interest in recreational activities.

  • Ascertain and interpret group interests, evaluate equipment and facilities, and adapt activities to meet participant needs.

  • Complete and maintain time and attendance forms and inventory lists.

  • Confer with management to discuss and resolve participant complaints.

  • Learn how to prepare and sell coffee drinks by following prescribed recipes and preparation techniques.

  • Maintain inventories by replenishing coffee bean supply; stocking coffee brewing equipment; maintaining supplies, pastries, and cookies for the coffee bar.

  • Direct parking and traffic flow if needed for larger events.

  • Treat everyone with dignity and respect at all times with a servant’s heart.

  • Support and uphold the policies and procedures of the Arctic Rec Center.

Job Specifications

Applicants to this position should have:

  • High School level education, previous experience in similar fields is a plus.

  • Previous experience in early childhood practices.

  • Customer service experience.

  • Phone/call center experience.

  • Effective communication skills, both written and verbal.

  • Good listening skills and customer-centric attitude.

  • Problem-solving skills with attention to details.

  • Ability to motivate others to deliver quality services to our guests and willingness to work in a team environment.

  • Ability to make sound judgment decisions.

  • A team-player attitude.

  • Knowledge of standard organizational administrative tasks.

  • Skills maintaining an organized filing system and data processing.

  • Skills in using Microsoft Suite to perform administrative tasks.

  • Ability to interpret and perform basic computer and POS system functions.

  • Ability to follow written and oral instructions.

  • Ability to speak English fluently.

  • Ability to lift objects 45 lbs. or more and moderate physical exertion.

  • Ability to lead and direct events.

  • Willingness to take on additional responsibilities whenever there is a need and should be able to build a professional and healthy relationship with other employees as well as customers.
